This sheet elaborates on your flowchart and goes into greater detail on the tasks required of each role. Add relevant video trainings/docs/forms/websites/etc links to this, and have your admin keep it up and available to them as they learn the job.
Having one for buyer-side and seller-side is extremely helpful to ensure the team knows where they are needed and what has to get done. We use it like a board game - you can't move to your next color block unless the person ahead of you did theirs. It also gives you a birds-eye view of how things run, and where gaps may exist that need to be filled.

What Mary uses to ensure Alison is doing enough agent-related activities to keep the business going. How many appointments were set and captured? This naturally tracks conversion. Where we are spending business dollars and what is our ROI? Is it worth continuing spending those dollars? Where is your pipeline - needing nurture? Ready to tour?
Knowing their availability keeps everyone on the same page when we schedule tours for buyers. Since these agents are not on our team, they are working on their own business and have their own clients. We find we can easily schedule buyer tours around their other appointments.
